Who and what this covers
This policy applies to NeuqOS public websites, Ask Neuq, consultation and contact forms, booking flows, client workspaces, and related communications. A product, proposal, or signed engagement may add more specific terms; where it does, those terms apply to that work.
“NeuqOS,” “we,” and “us” mean the operator identified in your proposal, invoice, or agreement. Before paid work begins, the contracting party will be identified there.
What we collect
We collect information in four practical groups:
- Contact and account details: name, email, phone number, company, role, location, website, and sign-in or operator records where applicable.
- Business and project context: answers, messages, goals, operational challenges, files, links, notes, and other material you choose to provide.
- Booking and communication details: meeting selections, invitee information, message content, delivery status, and follow-up history.
- Technical and browser information: session identifiers, device and browser details, network information, timestamps, security records, and the local or session storage described in our Cookies & Storage Notice.
We may also create working notes, summaries, classifications, and other inferences from information you provide. Those can be personal information when they relate to an identifiable person.
Why we use it
- To answer questions, prepare consultations, deliver products or services, and maintain continuity in your work.
- To schedule meetings, send confirmations, keep records, and provide support.
- To secure, debug, maintain, and improve the reliability and accessibility of NeuqOS.
- To understand whether our products and services are useful, using the least identifying information reasonably available.
- To meet legal, accounting, security, and dispute-resolution obligations.
- To send relevant follow-up or marketing only with permission or as otherwise permitted by law, with a way to stop.
We do not repurpose personal information in a way that is materially different from what we explained without first addressing notice and consent requirements.
How AI is involved
Ask Neuq and parts of the consultation workflow use AI services made available through our platform providers. Messages and supplied context may be processed to generate a reply, summary, question, classification, or suggested pattern.
- AI output can be incomplete, incorrect, or based on a mistaken inference.
- Important commercial, employment, financial, legal, or other consequential decisions should receive human review.
- Please do not provide passwords, payment card details, health records, or sensitive information that is not necessary and authorized for the work.
- You may ask us to explain, correct, or remove an AI-generated inference associated with you, subject to legal and operational limits.
Retention, deletion, and safeguards
We keep personal information only as long as reasonably needed for the purpose, an active relationship, security, legal, tax, backup, or dispute-resolution requirements. Different records have different lifecycles, so we do not promise a universal deletion deadline that the system cannot honestly guarantee.
When information is no longer needed, we delete it, anonymize it, or restrict further use, subject to backup cycles and legal holds. You can request deletion through the contact route below. In Ask Neuq, “Delete chat” clears the browser copy and asks NeuqOS to delete the saved conversation when it is not connected to a follow-up you requested. A requested follow-up record remains until its purpose or another applicable retention need ends.
Current controls include restricted operator access to working records, private file references for consultation uploads, server-side handling of Ask Neuq’s operating instructions, input limits, and data minimization at public endpoints. No online system is risk-free. We maintain a process to assess and respond to suspected privacy or security incidents and to notify people or regulators where required.
Your choices and access rights
Depending on the circumstances and law that applies, you may ask us to:
- tell you whether we hold personal information about you and provide access to it;
- correct information that is incomplete or inaccurate;
- withdraw consent for future optional uses, including marketing;
- delete information we no longer need or are not required to keep; or
- explain a decision, raise a concern, or challenge how information was handled.
We may need to verify your identity before acting. Withdrawing consent does not undo prior lawful processing and may mean we cannot continue a feature or service that depends on the information.
NeuqOS is not directed to children under 13. If you believe a child provided personal information without appropriate involvement from a parent or guardian, contact us.
Privacy contact and policy changes
The NeuqOS Privacy Lead is accountable for this policy. Email josh@neuqos.com with “Privacy” in the subject line. Include enough detail for us to understand the request, but do not email sensitive documents until we agree on a safe route.
We may update this policy when the system, providers, or legal obligations change. The date at the top is the public version record. If a change materially affects how existing personal information is used, we will provide additional notice where appropriate.
